eShare win contract with Royal & SunAlliance
After a detailed tender process and in depth analysis into Governance Software, eShare have triumphed over the competition to win a contract with Royal & SunAlliance (R & SA).
When The Pensions Regulator was created, it brought significant changes to the industry, driving many schemes to assess their operations to enable them to comply with the new regulation. As a FTSE100 company, with over 50,000 members in their Pensions Schemes, R & SA had to be at the forefront of good governance.
R & SA were proactive in their approach and identified potential areas where improvements could be made to their schemes. They decided that a web based governance solution was a necessary foundation to many of the changes they wished to implement. After a detailed tender process of all available options, they decided that the solution that could best meet their needs was eShare.
“Existing Trustees received a lot of information and yet were unable to easily access some knowledge, particularly if they were out of the company infrastructure, whilst the new trustees lacked historic information” said Helen Shilling, Pensions Trustee and Governance Manager at R & SA. “We recognised that to improve governance we needed to give trustees better tools, we needed to engage them in the operation of the scheme and we needed to give them easy access to information. Most of all, we knew technology was key to this.”
R & SA have chosen to implement all 4 modules of eShare – eKnowledge, eMeetings, eControls and eDecisions. They have also developed a Trustee training area.
Through using eKnowledge, Royal and SunAlliance can improve the management of all trustee knowledge and processes. eShare creates an on demand level of knowledge and gives more people access to information.
Meeting information will be better managed through implementing eMeetings, with papers distributed earlier and the burden on both the secretariat and Trustees is reduced.
eControls manages the outstanding actions from each meeting so that each attendee can quickly get up-to-speed and an audit trail to all the meeting actions is kept alongside the meeting and papers. And finally, eDecisions will help R & SA to make their decision making processes simpler and more effective.
“We were impressed by the thoroughness of the R & SA tender process. No stone was left unturned,” said Alister Esam, Managing Director of eShare. “Whilst this meant a lot of work from our perspective, it was great to be given the opportunity to prove what we were capable of.”
“Implementing eShare brings significant changes to the governance processes of our schemes, helping us to maintain and better control all activities. eShare creates an environment where we can work together and proactively manage information and knowledge, regardless of our location. Everyone will be more aware of key issues affecting the schemes. We are all supportive of the new system and value it as an important asset” said Helen Shilling.
